Terms & Conditions Registration Rates

Registration includes:

Registration for the conference(s) includes the applicable delegate roster(s). Access to all General and Breakout Sessions, Round Tables, Workshops, Specialized Panel Debates, networking express and to the Sponsors’ Exhibition area. Meal functions, receptions, and networking breaks listed in the final conference program(s). Simultaneous translation in all General Sessions (English-Spanish-Portuguese). Complete access to SAHIC’s mobile application with the opportunity to connect with other conference attendees for advanced networking. Conference Program

Additional Registration Information

An e-mail confirmation will be sent to you upon receipt of your registration information. By accepting terms and conditions, you agree that contact information you provide during registration may be shared with other conference attendees and sponsors to facilitate networking and building professional relationships and to inform you about the conference. The hosts may use your contact details to advise you of other events and related information. Please contact us in writing if you do not want this information shared. *If you do not wish your cell phone to be included in the delegate roster, please check the appropriate box during registration process. Please review our Privacy Policy. All participants must wear their name badge at all sessions and activities held as part of SAHIC’s program. Spouses and Guests are not permitted unless fully registered. SAHIC reserves the right to qualify all registrants and allow or prohibit anyone from attending this event. Topics, speakers, agenda, networking, and other conference events are subject to change without notice. Full contact database in PDF format sent via e-mail before and after the Conference is a privilege exclusive for patron and sponsors of the conference.

Travelers Insurance:

Conference Host suggests that all delegates purchase travel insurance to cover prepaid, nonrefundable travel expenses such as airfare and conference registration fees in the event of flight delays caused by severe weather; illness or family emergencies; and other unforeseen circumstances that may prevent you from attending.

Cancellations and Refunds

Cancellations are by written request from the registered delegate only and apply to the policy in effect on the date the notification is received by SAHIC. Cancellation requests must be received on or before January 31, 2025, and are refundable less a process cancelation fee of US$ 300.- per registration . Cancellations received after January 31, 2025, are non-refundable. Registrations are transferable to other colleague of your company interested in attending this event only (SAHIC on March 24-25, 2025 at Rio de Janeiro - Brazil). Registrations are transferable with written notice from the delegate only, and subject to a fee of US$ 150. Should any balance remain unpaid, the purchaser agrees to pay costs incurred for collection. Non-attendance is subject to full payment. Travel and lodging arrangements are the sole responsibility of the delegate and are not included.  If any part of or all the conference is changed or cancelled, the conference hosts are not responsible for covering airfare, hotel, or any other costs.


Change of event location or schedule

SAHIC shall use its best efforts to conduct and promote the conference on the indicated dates at the venue. Each registered delegate acknowledges and agrees that SAHIC may re-locate the conference or change the dates on which, or the venue at which it is held, or may move all or some portion of the conference and its content to an on-line (virtual) format, all without the consent of the delegate, in which event:1) The delegate will be notified of such change,  2)  no refund will be due to the delegate, 3) SAHIC will adjust the delegate’s rights afforded by the registrations as it reasonably determines, and 4) The delegate agrees to accept such adjusted rights.

If any part of or all the conference is changed or cancelled, the conference hosts are not responsible for any refunds covering airfare, hotel, or any other costs.

Force Majeure

In the event that the conference is prevented, hindered or delayed in or from performing any of its obligations, for any reason beyond its reasonable control, in SAHIC`s sole discretion, that makes impossible, illegal or commercially impracticable Conference Host’s performance due to a “Force Majeure Event”, including without limitation by acts of God, flood, drought, fire, earthquake, explosion or other natural disaster any declared epidemic or pandemic, or any other widespread communicable disease, or any other threat or fear of any infectious or communicable disease in humans, including (without limitation) the current or any future outbreak of the novel coronavirus (COVID 19), whether actual or perceived, without requiring the issuance of any travel advisory or warning, or the imposition of quarantine or restriction in movement of people by any government authority or national or international body or agency of any government in connection with, or related to any infectious or communicable disease in humans; or postponement or cancellation of the conference(s,  war or insurrections, terrorist attack, acts of domestic or foreign enemies, riot or other civil unrest; labor dispute, work stoppages or slowdowns, strikes or specific threat of strikes, picketing, or other industrial disturbances; government law, regulation or order (including governmental advisories, quarantines and curfews), civil war, civil commotion or riot, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations, nuclear, chemical or biological contamination or sonic boom, any law or any action taken by a government or public authority, including without limitation imposing an export or import restriction, quota or prohibition, or failing to grant a necessary license or consent.

Upon the occurrence of a Force Majeure event, SAHIC may take such action as it deems reasonable under the circumstances, including (without limitation) the postponement of the conference (or any part thereof). SAHIC shall not be liable for any delay, costs, damage, losses, fees or expenses, or increased costs or other unfavorable conditions arising under a Force Majeure event.

Release of Lability:

In consideration of my being allowed to participate in the conference(s), and in consideration for the Conference Host accepting a delegate to the conference(s), each delegate acknowledges, appreciates and agrees that: (i) there is risk of injury or illness from traveling to, and participating in the conference, including (in particular, and without limitation) risks of exposure, directly or indirectly, arising out of, contributed to or by, or resulting from any infectious or communicable disease, including (without limitation) the current or any future outbreak of the novel coronavirus (COVID 19) and/or any mutation or variation thereof – and while particular mitigation efforts and personal discipline may reduce this risk, the risk of serious injury or illness does exist.  Therefore, each delegate knowingly and freely assumes all such risks, both known and unknown, even if arising from the negligence of the Releasees or others, and assumes full responsibility for his/her participation in the conference(s); and (ii) Each delegate, for himself/herself and on behalf of his/her heirs, assigns, personal representatives and next of kin, hereby releases, indemnifies, and holds harmless Conference Host and the conference venue, and their respective directors, officers, employees, agents, associated personnel, volunteers, other delegates, sponsors and advertisers (collectively, the “Releasees”), with respect to any and all injury, illness, disability, death or loss or damage to person or property associated with such delegate’s presence at, or participation in the conference, including being transported to or from the conference, whether arising from the negligence of the Releasees or otherwise, to the fullest extent permitted by law.
